From AI to analytics: How to increase operational efficiency in salons

In any business, the smoother and more efficient the operations and day-to-day decision-making processes, the more successful it’s likely to be.

Interestingly, Mintel’s Professional Beauty and Grooming Treatment Consumer 2025 report found that 61 per cent of UK adults viewed a pleasant salon experience as being more important than cost.  

If appointments are running behind schedule, or a client has been double booked, they’re unlikely to get the experience they’ve paid for, making all the difference to your bottom line. A first-timeclient can either become a loyal customer or go elsewhere depending on how they feel when they leave the salon.

It’s no secret that salon teams are busy juggling different priorities at any given time. In addition to taking care of clients, carrying out treatments and offering consultations, staff must also keep on top of scheduling appointments.  

This may seem like a simple task, but it can be time consuming, taking talented teams away from the salon floor and from using their hard-earned beauty skills.

A system that improves productivity, efficiency and client satisfaction in one is a recipe for success, and the marketing insights these tools can provide are also invaluable. 

Data-driven decisions 

Making use of the data obtained from booking systems is a smart move for salons. Not only does this enhance your marketing efforts but helps improve operational efficiency too. 

Keeping track of how often a client visits the salon, what their preferred treatment is, how much they spend per appointment on average, and what time of day they like to visit can all feed into your marketing strategy.  

By offering discounts, special bundles or reminder communications based on this data, you can help your loyal customers feel valued whilst providing an incentive for them to return.  

Equally, making use of data is a time-saver. It’s unlikely that your team will have time to comb through appointment details to manually pick up on spending patterns, so having a system that can automatically track and detect anything noteworthy is hugely valuable. 

SMS & email marketing  

Maintaining communication with clients in between appointments is a crucial part of nurturing relationships. Every client wants to feel valued and remembered, and this shouldn’t stop when they leave the salon at the end of their appointment. 

SMS and email marketing are effective ways to keep this communication going and allow you to update clients with the latest salon news, discounts, special offers, treatments and services. 

This regular communication can help build a sense of trust and keeps clients engaged – in other words, they’re more likely to return for their next appointment. 

What’s more, these systems are quick and easy to implement, and once up and running, can cut down large amounts of admin. Remembering to maintain contact with each individual client is a lot for any team to take on, so taking advantage of a system that can do the majority of the leg work frees up time and headspace to focus on delivering an exceptional service in the salon itself. 

Rewarding loyalty 

A smart marketing strategy considers how to reward those loyal clients as well as how to attract new ones. There are a whole range of ways to do this, but implementing loyalty schemes is an effective method that can also be operationally savvy. 

Rewarding different levels of spending or number of salon visits with set perks across tiers means teams don’t need to spend huge amounts of time coming up with bespoke rewards for each individual client.  

For instance, a bronze tier could include ten per cent off all retail products, a silver tier could include ten per cent off retail products and any colour service, while a gold tier could include up to 20 per cent off retail products and their preferred treatment. 

Once the system is in place, salon teams can simply encourage clients to sign up and earn more points, increasing return visits and revenue in the process. 

Final thoughts 

There’s no doubt that improving operational efficiency in salons is important, and with so much to juggle, creating a smooth experience for both clients and staff can seem daunting – but it doesn’t have to be. 

Taking a look at your marketing strategy and assessing what can be done to enhance operations isn’t necessarily a quick fix, but the upfront effort will be worth it in the long run when it comes to saving time, improving the client experience and increasing revenue.
